How to Claim WDF

  • Complete or update your ASC-WDS account
  • Email a screenshot of the updated ASC-WDS to [email protected]
  • ARC will email a Claim Form for the current funding year to the Partner
  • Check what is funded
  • Complete an ARC Claim Form
  • Attach the required evidence
  • Send your claim form and evidence by email to ARC

When claims are received (overview)…
We check to see that the evidence supplied is in accordance with Skills for Care guidelines and the ARC process for claiming WDF funding. If everything is in order we will submit your claims to Skills for Care. If your claims are not supplied to us in accordance with the requirements we will contact you identifying why we are unable to process the claim. If evidence is submitted with an incorrect or duplicate registration number or ULN, the claim will not be processed.

What can and cannot be funded – check the list to see what is funded –

WDF-funded-quals-2023-24
The maximum amount of potential funding that can be claimed per learner, per funding year is £2,000.

  • Skills for Care will not fund claims that have been paid out in previous years, or have been funded elsewhere.  Skills for Care will only fund qualifications included on the list of WDF Funded Qualifications and Learning Programmes.
  • Please note that where employers are claiming from more than one source of public funding they must ensure that they do not claim the same cost from more than one source.
  • There are rules governing claiming WDF alongside Apprenticeship funding, please see our FAQ’s.
  • It is an employers’ responsibility to ensure that they do not claim more funding than the cost to them, of employees undertaking training, but direct costs such as course fees, backfill or wage replacement costs, can be included. Costs must be incurred before WDF is claimed, please see our FAQ’s.
  • Employers must ensure that they have records in place to evidence the costs of any training for which funding has been given.

How to submit evidence for funding
So that we can process your claims promptly, please ensure that your ASC-WDS has been updated since 1st April 2023.  Once your ASC-WDS has been updated, please email us a screenshot of your update(s) confirming eligibility, we will then forward you a copy of our updated claim form.  You need to complete an ARC WDF Claim Form for each batch of claims you send to us.

The claim form can be used for one or more employees/claims as long as they are from the same establishment. Attach to this the required evidence per employee/claim.  Send your claim form with copies of certificates by email to [email protected] or post to: WDF Administrator, Association for Real Change, 10a Marsden Street, Chesterfield S40 1JY 

Qualification Evidence is accepted by final certificates only – see the appropriate list of evidence below:
Claims for funding can only be accepted by the submission of final certificates. The evidence must show the specified list of criteria as detailed below. If any of these details are missing we are unable to process your claims, therefore, any missing evidence must be handwritten onto the certificates.  Please make sure the evidence submitted is accurate, readable and complete.  Your evidence must be accompanied by an ARC claim form.

Accredited Programmes (RCF):

  • Learner name
  • Learner’s Unique Learner Number (ULN) (10 digits long)
  • Learner Registration Number/Enrolment Number
  • Qualification code as shown on the list of funded qualifications and learning programmes
  • Name of Awarding Body
  • Name of Training Provider
  • Date of qualification achievement between 1 January 2023 – 31 March 2024

Apprenticeship Standards:

  • The final diploma certificate showing above information
  • A copy of the final apprenticeship standard certificate containing the following information
  • Learner’s name
  • Unique Learner Number (ULN) (10 digits long)
  • Name of the apprenticeship standard
  • Apprenticeship standard code as per the list of funded qualifications and learning programmes
  • Date of the award must fall within 1 January 2023 – 31 March 2024
  • The certificate must be issued by the Institute for Apprenticeships and Technical Education (IfATE)

Non-Accredited Learning Programmes:

  • Learner’s name
  • Learner’s date of birth
  • Name of learning programme
  • Name of endorsed provider
  • Date of issue of certificate between 1 January 2023 – 31 March 2024

Digital Learning Modules:

  • Learner’s name
  • Learner's date of birth
  • Name of Digital Module
  • Date of issue of certificate between 1 January 2023 - 31 March 2024

PLEASE NOTE: During the course of the funding year some claims from organisations who have received a higher level of funding may be held back while non-claimants submit their funding.  This process enables ARC to disburse the grant as widely as possible across its Partnership.

When payments are made…
Following submission of claims sent to Skills for Care, it can take up to 20 working days for them to make payment to ARC. Payments to our Partners will then be paid by BACS to the organisation’s bank account. We will email a breakdown of the claims funded.
